Requirements:

Languages: Candidates must have knowledge of the English Language
Education: Candidates should have completion of 4 years of University training (Grade XII plus 5 years)
Experience: Candidates should have 8 years and up to and including 10 years experience in the relevant field

Other Requirements:

  • The candidates should possess extensive knowledge of financial accounting to evaluate and validate building operation and maintenance costs and to analyze long-range financial forecasts for annual budget and business planning
  • The candidates should have a knowledge of business administration, work methods, procedures, and organizational structures to ensure that programs are administered in an effective and efficient manner
  • The candidates should be familiar with benchmarking methods to provide assistance in identifying potential best practices to improve assigned processes and have knowledge of Corporate Real Estate property management, business law, and contract administration
  • The candidates should be familiar with principles and practices of project management and should have knowledge of procurement and vendor contracts
  • The candidates should have developed skills in computer literacy, being an advanced user of Excel, and proficient in MS Office tools including Word, PowerPoint, and Visio
  • The candidates should possess exceptional communication and active listening skills, both written and verbal and have a knowledge of English and effective oral and written communication skills to prepare concise, clearly understandable correspondence, procedures, processes, and to discuss program requirements and associated negotiations with others
  • The candidates should have a knowledge of technical writing for the preparation of standards and specifications and to interpret Service Level Agreements or Contracts or to prepare effective reports
  • The candidates should have a knowledge of computer systems and analytical techniques to carry out engineering, economic, or analytical studies related to assigned work processes of the distribution business. They should also have experience in an outsourced environment with the procedures and processes of contract compliance and associated administrative aspects
  • The candidates should have an understanding of building operation, maintenance, construction, and design deficiencies and have experience in facilities management to have acquired an understanding of related technical aspects of the job and to be able to deal with customer-related issues, including applicable policies, practices, and assigned work processes
  • The candidates should have an understanding of associated computerized systems relative to budget preparation, maintenance, and control of building costs. They should also have the ability to work independently and competently handle multiple tasks while adhering to stringent deadlines
  • The candidates should have experience in construction, maintenance, and all facets of facility operation and demonstrate the ability to establish and maintain strong professional relationships to understand organizational directions, priorities, issues, and challenges
  • The candidates should have experience working in an outsourced environment and should have developed skills in computer literacy, being an advanced user of MS Excel, and proficient in MS Office tools including Word, PowerPoint, and Visio
  • The candidates should have experience with various computer systems to select and utilize the most effective for data compilation as it relates to distribution work and have experience with organizational and presentation techniques to present both written and verbal accounts concerning program requirements
  • The candidates should have experience in resolution techniques pertaining to Service Level Agreements or Contracts and have experience in working effectively as a team member to develop strong working relationships
  • The candidates should have experience in proactively pursuing opportunities for positive changes and improvements to systems and assigned work processes

Responsibilities:

  • The candidates should be able to manage assigned work processes to ensure efficient and effective completion of work
  • The candidates should be able to provide analysis on financial and technical aspects relative to converting existing methods in relation to the most up-to-date technology in these fields
  • The candidates should be able to evaluate issues such as cost benefits, methods presently in use, integration compatibility, staff effects, utilization of equipment, and maintenance availability
  • The candidates should be able to assist in discussions, problem-solving, and issue resolution with customers and vendors regarding negotiation, implementation, and ongoing work performance of Service Level Agreements or Contracts
  • The candidates should be able to ensure compliance with health and safety standards and industry codes and able to have the ability to work in a team and in a collaborative environment
  • The candidates should be able to have exceptional time management skills and the ability to meet deadlines and able to ensure delivery schedules, quantity, and quality criteria are met and able to verify payment and invoicing match contract pricing
  • The candidates should be able to provide input, document requirements, and support the design and delivery of training programs and able to provide advice and direction to HONI staff processes and related activities
  • The candidates should be able to identify, plan, organize, and monitor requirements and processes for activities requiring completion and implement cost reporting and control systems to monitor and control facility and accommodation costs
  • The candidates should be able to ensure Fire and building codes and policies are met and able to obtain quotes and tenders from vendors and suppliers
  • The candidates should be able to assist in the preparation of the Unit’s annual budget and business plan related to space, furniture, business equipment, level of more activity, staff projections, and special needs (wheelchair access, and ergonomics requirements)
  • The candidates should be able to develop, analyze, and implement divisional/corporate procedures and management systems in order to support the business, management reporting, and regulatory submissions
  • The candidates should be able to maintain current knowledge of new technology and concepts in the facility management and services industries through published material, ongoing contact with suppliers, consultants, designers, and external organizations
  • The candidates should be able to assist the Manager in preparing business cases as required
