Requirements:

Languages: Candidates must have knowledge of the English Language
Education: Candidates should have completion of a University pass degree
Experience: Candidates should have minimum of five years of progressively more responsible experience involving the conception, planning and implementation of special events

Physical Requirements:

  • The candidates should be able to lift and move objects as heavy as 35lbs
  • The candidates should be prepared for event delivery that requires various weekend and evening hours of work, with very limited annual leave approved during peak periods
  • The candidates should have the ability to work well under pressure, including prioritizing workload, working within tight and competing deadlines, and within budget
  • The candidates should have the ability to work independently with minimal supervision and also be able to work as a team member
  • The candidates should be available for frequent, mandatory overtime work on weekends and weeknights (2-4 times/month) and frequent, mandatory travel to recruitment, alumni, and community events (2-4 times/month) in and around Ottawa and the Greater Toronto Area, fluctuating throughout the year

Other Requirements:

  • The candidates should possess experience and knowledge about event development and coordination, with a general knowledge of industry standards and practices in event planning
  • The candidates should possess superior organizational, time management, and project coordination skills
  • The candidates should have exceptional interpersonal skills and the knowledge of how to use them to build and maintain effective relationships and to work successfully within a dynamic team
  • The candidates should demonstrate superior attention to detail and the ability to communicate effectively with a broad range of university clients and the general public; proficiency in English spelling and grammar
  • The candidates should have initiative, creativity, and resourcefulness in problem-solving and the ability to adapt to changing circumstances
  • The candidates should possess superior computer skills, including expertise in the use of MS Excel, MS Word, and MS PowerPoint; software database systems, such as Banner; e-procurement systems, such as eShop; and expense and travel management software, such as Concur
  • The candidates should have knowledge of the university’s culture, structure, services, and institutional goals and objectives, which is highly desirable
  • The candidates should have a valid driver’s license
  • The candidates should have certification in CPR and Smart Serve, which is highly desirable

Responsibilities:

  • The candidate should be able to report directly to the Manager, Academic Support Operations, and receive supervision from the Supervisor, Events and Special Initiatives
  • The candidate should be able to ensure alignment of events with priorities set by the Dean, supporting student recruitment donor, alumni, industry, and government engagement student engagement and recognition; and community (campus and external) engagement
  • The candidate should be able to coordinate a variety of events, including reputational and recruitment events, academic public lectures, student success events, alumni engagement, volunteer and donor recognition, and advancement events
  • The candidate should be able to liaise closely with staff and faculty within the Faculty of Engineering and Design and work closely with a wide variety of campus partners and coordinate and deliver events, including development, planning, and special projects led out of the Office of the Dean, Faculty of Engineering and Design
  • The candidate should be able to support the strategic objectives of the Faculty through effective event planning, execution and maintain positive relationships with event volunteers, campus and external partners, stakeholders, and event suppliers
  • The candidate should be able to manage all aspects of event logistics, including venue selection, catering, audiovisual needs, transportation and manage event budgets, ensuring financial accountability and adherence to budgetary constraints
  • The candidate should be able to recruit, train, and manage event volunteers, ensuring their roles are clearly defined, executed and oversee event promotion and communication, working with marketing and communications teams to ensure effective outreach
  • The candidate should be able to evaluate event success through feedback collection and analysis, and report outcomes to the Dean and other stakeholders and to troubleshoot and resolve issues that arise during events, ensuring a smooth and professional experience for all attendees
  • The candidate should be able to stay updated on event management best practices and incorporate innovative approaches to enhance event quality and foster a positive and collaborative team environment, promoting a culture of excellence and continuous improvement
