Requirements:

Languages: Candidates must have knowledge of the English Language
Education: Candidates should hold a certificate from an approved secretarial or administrative professional post-secondary program
Experience: Candidates should have a minimum of 4 years of experience in a senior administrative professional role within the past 7 years

  • The candidates should demonstrate strong interpersonal and communication skills with the ability to collaborate effectively with diverse groups of individuals
  • The candidates should show intermediate proficiency in Microsoft Office Suite and Adobe Acrobat and experience working successfully in a virtual team environment
  • The candidates should have experience managing time-constrained schedules for senior leaders and display strong attention to detail with superior editing and proofreading skills
  • The candidates should have experience in committee coordination, event planning, and related administrative functions
  • The candidates should demonstrate advanced knowledge and use of electronic communication tools, especially Outlook and MS Teams and familiarity with applicable legislation, policies, and processes
  • The candidates should have a strong service orientation, respectfulness, politeness, and a sense of humor and an interest in mentoring administrative staff and effective leadership skills to guide an administrative support team
  • The candidates should demonstrate considerable knowledge of Health Information Management systems and processes and exhibit working knowledge of Alberta Health Services systems and processes

Responsibilities:

  • The candidates should be able to provide additional support in the absence of the Executive Associate or Executive Administrative Support in the office of the SPD – Health Information Management
  • The candidates should be able to demonstrate a detailed understanding of Health Information Management and expert knowledge of the complexities of working relationships within HIM and across AHS departments
  • The candidates should be able to initiate and maintain effective relationships with internal and external stakeholders
  • The candidates should be able to facilitate the coordination of efforts across zones or provincial functional areas within HIM, requiring independent judgment, tact, creativity, and initiative
  • The candidates should be able to collaborate with the HIM Executive Director, Directors, and their administrative assistants to ensure effective administrative service delivery
  • The candidates should be able to provide training, coaching, and mentoring to administrative support staff within HIM
  • The candidates should be able to demonstrate leadership, problem-solving, and critical thinking skills to address challenges and support departmental
  • The candidates should be able to apply change management strategies to support evolving priorities and processes within HIM
  • The candidates should be able to train and mentor team members to strengthen administrative capabilities across the department
