Requirements:
Languages: Candidates must have knowledge of the English Language
Education:Â Candidates should have completion of three-year university degree
Experience: Candidates should have at least two years’ experience in administering graduate programs
Physical Requirements:
- The candidates should remain up to date with changing regulations and work with a high degree of accuracy, resourcefulness, and initiative, often under pressure to meet deadlines
- The candidates should be able to act independently and responsibly in handling multiple concurrent tasks
- The candidates should have highly developed office administration skills, with the ability to organize work effectively, set priorities, and meet strict deadlines with minimal supervision
Other Requirements:
- The candidates should possess excellent interpersonal and decision-making skills to provide accurate information to faculty and students regarding procedures and regulations related to admission, registration, and program continuation, and to effectively liaise with university staff
- The candidates should possess an excellent command of the English language for preparing correspondence, proofreading calendar entries, and reviewing promotional materials
- The candidates should have highly developed skills with office software, all relevant Banner applications, Carleton’s website management system, and other software systems that the University may use over time
- The candidates should have four years of progressively responsible experience in a university environment
Responsibilities:
- The candidates should be able to report to the School Administrator and be responsible for the overall administration of the PhD, M.A., and diploma programs offered by the School of Linguistics and Applied Language Studies
- The candidates should be able to provide advice to graduate students on their program requirements, academic regulations, and the Collective Agreement (CUPE 4600-Unit 1) for teaching assistants
- The candidates should be able to prepare and process admission applications, analyze transcripts, calculate grade point averages, and advise Graduate Supervisors and graduate students on admission policies, thesis guidelines, and financial assistance
- The candidates should be able to initiate correspondence and liaise with the office of the Faculty of Graduate and Postdoctoral Affairs (FGPA) on behalf of the Graduate Supervisors
- The candidates should be able to process a variety of documents critical to graduate students’ progress through the program, coordinate the regular review of the academic audit, and monitor students’ academic standing
- The candidates should be able to assist with scholarship and awards applications and respond to student inquiries regarding admissions, prepare admissions documentation for Graduate Supervisors and Admissions Committees, and assist with registration
- The candidates should be able to provide support for the examination process, including assembly of thesis defense boards, and preparation of graduation lists, ensuring the eligibility of students to graduate
- The candidates should be able to administer and maintain extensive student records, including details regarding funding, academic status and generate a variety of statistical reports and organize and attend all events in support of new graduate students, as well as those related to graduate student orientation and recruitment
- The candidates should be able to take primary responsibility for the Graduate Program portion of the unit website, in consultation with the Departmental Administrator, Graduate Supervisors, and the Director
