Requirements:

Languages: Candidates must have knowledge of the English and Japanese Language
Education: Candidates should have completion of a level of education equal to a business administration certificate/diploma program, or an equivalent combination of education and experience and an undergraduate degree in a related field
Experience: Candidates should have minimum of 3 years work experience in a customer facing role in an English language school and 2 years experience in student advising

Physical Requirements:

  • The candidates should have strong time management skills and attention to detail, with the ability to set priorities and meet deadlines
  • The candidates should be a reliable team player who uses good judgment, approaches matters in a professional and positive manner, and demonstrates a strong customer service orientation
  • The candidates should have a positive attitude and demonstrated ability to be a collaborative team member

Other Requirements:

  • The candidates should have work experience in a post-secondary ESL center and administrating international student medical insurance
  • The candidates should know that this opportunity is currently available for internal applicants only as there is a strong internal candidate for this position
  • The candidates should have oral and written fluency in Japanese and English
  • The candidates should possess excellent communication, interpersonal, and organizational skills
  • The candidates should have knowledge and experience of studying abroad
  • The candidates should have strong computer proficiency, specifically with Microsoft Word, Excel, PowerPoint, and Teams; Internet Explorer; Oracle Calendar and Email; Zoom
  • The candidates should have experience with the University’s core business systems such as PeopleSoft and Continuing Education Student Registration System (Destiny One)
  • The candidates should have cross-cultural sensitivity and experience working with clients of limited English proficiency

Responsibilities:

  • The candidates should be able to efficiently and accurately process student registrations and process admission applications, course registrations, transfers/withdrawals, and fee transactions
  • The candidates should be able to provide information and service to prospective students, clients, visitors, and co-workers regarding the educational programs, services, and processes of Continuing Education and University
  • The candidates should be able to provide information and assistance on course and program selection, registration, program requirements, refunds and transfers, and scheduling
  • The candidates should be able to make appropriate referrals to University services and departments to link students with the most appropriate departments for their needs and maintain accurate and appropriate student and instructor records following established procedures/guidelines
  • The candidates should be able to prepare student materials and records (e.g., orientations, ELP transcripts, and parchments) and assist with coordinating ELP student and instructor information sessions
  • The candidates should be able to process payments for supplies, instructional services, and other services and book commedia and assist in booking facilities (i.e., classroom, conference space)
  • The candidates should be able to process shipments of marketing and promotional materials and maintain inventory of office and instructional supplies, materials, and equipment
  • The candidates should be able to provide clerical support to the Associate Director, International and ELP managers and perform other administrative duties as assigned by the Manager, Customer Service and Operations
  • The candidates should be able to maintain and administer student satisfaction surveys and compile the results and process student emergency medical insurance applications
  • The candidates should be able to assist students with acquiring campus access, such as UPass, Unicard, Kinesiology, printer, library, and lockers and administer online and in-person placement tests by preparing materials, rooms, and invigilators
  • The candidates should be able to assist with final exam preparations, ensure sufficient office and kitchen supplies for the ELP office and provide language support to ELP staff and students
  • The candidates should be able to attend ELP activities and events, assist instructors and staff with classroom and facility-related issues and ensure that financial transactions are processed in accordance with University policy and procedures
  • The candidates should be able to assist with the promotion of courses and programs using various tools such as mail-outs, email, social media, and by phone to disseminate information and material to identified markets and established clients
