Requirements:

Languages: Candidates must have knowledge of the English Language
Education: Candidates should have successful completion of a one-year Office Administration program from an approved/recognized college
Experience: Candidates should have considerable experience in the relevant field

Physical Requirements:

  • The candidates should be occasionally required to lift or move objects up to 10 lbs., such as boxes, files, and equipment and should be regularly required to sit while performing work on a computer
  • The candidates should be occasionally required to bend, stretch, reach, stand, and walk within the office or clinic environment
  • The candidates should be regularly required to perform fine finger/precision work while sitting and using a computer mouse to send and respond to emails or work on documents
  • The candidates should maintain visual concentration while transcribing, entering, or formatting text/data and should maintain auditory concentration when performing reception duties or answering the telephone. They may experience frequent interruptions from the public/clients
  • The candidates should ensure exact results and precision are constantly achieved when entering data/text, maintaining files, and completing statistical reports and may occasionally experience time pressures/deadlines

Other Requirements:

  • The candidates should have successfully completed an approved/recognized medical terminology course and have the ability to multi-task, meet strict timelines, and deal with competing demands
  • The candidates should demonstrate attention to detail, superior organizational skills, the ability to prioritize, excellent customer relation skills, and the ability to work independently
  • The candidates should demonstrate exceptional problem-solving, interpersonal/communication, and organizational skills
  • The candidates should demonstrate proficiency in Microsoft Office, Excel, PowerPoint, and Outlook and should have a satisfactory record of work performance
  • The candidates should be aware that an Excel and PowerPoint test may be administered by the Department of Human Resources

Responsibilities:

  • The candidates should be able to coordinate education and training sessions for all departments, ensuring effective planning, scheduling, and communication to meet the needs of staff
  • The candidates should be able to provide back-up support to the Executive Assistant, assisting with various administrative tasks and responsibilities as needed
  • The candidates should be able to perform responsible and complex secretarial work, including preparing and processing correspondence, maintaining records, and managing confidential information with discretion
  • The candidates should be able to schedule appointments and meetings, coordinating calendars and ensuring timely communication with relevant stakeholders
  • The candidates should be able to record and transcribe minutes accurately during meetings, ensuring comprehensive documentation of discussions and decisions
  • The candidates should be able to generate reports, utilizing various software tools and databases to compile and analyze data as required
  • The candidates should be able to maintain databases and ensure accurate and up-to-date information for effective decision-making and reporting purposes
  • The candidates should be able to manage office supplies inventory, ensuring adequate stock levels and timely replenishment as needed
  • The candidates should be able to enter payroll information accurately and in a timely manner, following established procedures and guidelines
  • The candidates should be able to manage confidential files and information securely, adhering to privacy regulations and organizational policies
  • The candidates should be able to perform other duties as assigned, demonstrating flexibility and adaptability to meet the evolving needs of the department and organization
