Requirements:

Languages: Candidates must have knowledge of the English Language
Education: Candidates should have completion of an Office Administration Diploma
Experience: Candidates should have office administration experience

Other Requirements:

  • The candidates should have experience with information management applications and knowledge of office administration practices
  • The candidates should have knowledge of CSSD programs and services relating to children and families
  • The candidates should have proficiency with IM applications and relationship-building skills

Responsibilities:

  • The candidates should be able to act as a first point of contact for the team, maintaining responsibility for screening, channeling, and responding to inquiries from both internal and external clients
  • The candidates should be able to provide administrative support to the Senior Regional Manager of Children and Youth Services (Zone Manager) and establish office procedures to meet changing
  • The candidates should be able to track the receipt of incoming and outgoing correspondence and ensure timely distribution to appropriate individuals
  • The candidates should be able to monitor and ensure timely responses for correspondence utilizing HPRM (TRIM) or other information management systems
  • The candidates should be able to type a variety of documents, including letters, reports, memos, and briefing notes
  • The candidates should be able to liaise with other teams and departmental staff and prepare draft responses to routine correspondence
  • The candidates should be able to prepare purchase requisitions for equipment and supplies, and ensure materials are received in good working order and distributed to the appropriate personnel
  • The candidates should be able to assist the Clinical Program Supervisor in planning and analyzing special problems and relieving administrative details
  • The candidates should be able to act on behalf of the Supervisor in transmitting and interpreting assignments and decisions to staff and others and coordinate travel arrangements and accommodations
  • The candidates should be able to organize meetings, assemble information and documents, prepare agendas, and record and prepare minutes and provide front desk coverage
