Requirements:
Languages: Candidates must have knowledge of the English Language
Education: Candidates should have completion of post-secondary education in office administration
Experience: Candidates should have experience providing administrative and secretarial support to executive and senior level staff
Physical Requirements:
- The candidates should be legally entitled to work in Canada, provide and maintain a satisfactory Criminal Record Check (including potential vulnerable sector check)
- The candidates should be prepared to undergo additional security checks, depending on the position
Other Requirements:
- The candidates should have experience scheduling and coordinating meetings, managing travel arrangements, taking minutes, and providing meeting preparation and day-to-day administrative support
- The candidates should have the ability to work in a high-volume environment while maintaining excellent time management skills to prioritize workloads and effectively manage deadlines or shifting priorities
- The candidates should have excellent written communication skills, with the ability to draft, format, edit, and proofread correspondence on behalf of senior staff with great attention to detail
- The candidates should demonstrate political acumen and the ability to effectively manage and maintain confidentiality when dealing with sensitive documents and information
- The candidates should have experience coordinating the flow of incoming and outgoing correspondence and maintaining physical/digital filing systems
- The candidates should have strong interpersonal and verbal communication skills to interact professionally with a variety of internal and external stakeholders while maintaining strong working relationships
- The candidates should be able to work independently, take initiative, and manage unexpected changes or last-minute requests effectively
- The candidates should have proficiency in Microsoft Office, including Word, Excel, Outlook, and PowerPoint, experience with SAP and experience in AIMS or SIMS
Responsibilities:
- The candidates should be able to provide comprehensive administrative support to senior executive staff within the Government of Manitoba, ensuring smooth daily operations
- The candidates should be able to draft, proofread, edit, and format a variety of documents with exceptional attention to detail, ensuring accuracy and professionalism
- The candidates should be able to manage files, track incoming and outgoing correspondence, and oversee email communication to ensure timely follow-ups and responses
- The candidates should be able to manage senior executive calendars, scheduling meetings and appointments while prioritizing time-sensitive tasks
- The candidates should be able to coordinate and arrange travel for senior executives, including transportation, accommodations, and itineraries
- The candidates should be able to answer telephones and respond to public inquiries with clear, professional communication, providing exceptional service to internal and external stakeholders
- The candidates should be able to handle confidential and sensitive information with tact and discretion, ensuring confidentiality at all times
- The candidates should be able to demonstrate excellent communication skills, both written and verbal, to ensure seamless communication across the organization
