Requirements:

Languages: Candidates must have knowledge of the English Language
Education: Candidates should hold a certificate or diploma in administration
Experience: Candidates should have a minimum of three years’ experience in an administrative role, preferably in the public sector

Physical Requirements:

  • The candidate should have the ability to work with confidential and sensitive information, work well both independently and in a team environment
  • The candidate should have the ability to deal effectively with the general public, professional staff, consultants, and outside service providers
  • The candidate should have strong organizational skills, with the ability to prioritize tasks and meet critical deadlines

Other Requirements:

  • The candidate should have general knowledge of human resources and legal functions, experience in a municipal environment
  • The candidate should have strong communication skills, both written and oral, be proficient in MS Office applications, Peoplesoft Financials, and Peoplesoft HRMS
  • The candidate should demonstrate a professional attitude and possess strong interpersonal and public relations skills

Responsibilities:

  • The candidate should be able to manage the Director’s calendar by coordinating, prioritizing, and reconciling multiple meeting requests, assist Managers with calendar and time management, prepare files for meetings, and receive and direct incoming inquiries
  • The candidate should be able to research available sources, including the web and similar organizations, to provide informational and statistical material, compose and format corporate reports, letters, communiqués, memos, agendas, and minutes for the Director and Managers
  • The candidate should be able to perform divisional management (non-union) payroll functions, including data entry, coordination of timesheets, and vacation schedules, manage the general and confidential files of the division
  • The candidate should be able to ensure all MasterCard reconciliations for the Director, Managers, and Supervisors are submitted for appropriate approvals and processing in accordance with the Purchasing By-law and P-Card Program
  • The candidate should be able to schedule various meetings, including management and high-priority meetings, and prepare agendas and minutes for distribution
  • The candidate should be able to liaise with other operating divisions on relevant matters, provide internal and external customer service by processing and responding to various inquiries and service requests while adhering to corporate service standards, create Word documents, Excel spreadsheets, PowerPoint presentations, and other documents for the division
  • The candidate should be able to act as backup for clerical staff and log and distribute the Director’s mail and make arrangements for courier services and perform all other related duties
