Requirements:

Languages: Candidates must have knowledge of the English Language
Education: Candidates should have completion of Diploma in Office or Business Administration
Experience: Candidates should have three years’ of directly related administrative
experience

Physical Requirements:

  • The candidate should be able to perform occasional lifting of boxes of paper and other resources
  • The candidate should be prepared for long periods of computer work, typically 2 to 3 hours daily at normal intensity
  • The candidate should be able to work in an environment with background noise present throughout the day at normal intensity
  • The candidate should maintain alertness and attention to detail consistently throughout the workday
  • The candidate should be capable of handling varied work tasks concurrently, including writing, coordinating, answering phones, and administrative duties, with moderate to high intensity daily
  • The candidate should be able to manage varying demands from Directors and divisional employees, with moderate to high intensity daily

Other Requirements:

  • The candidates should have good working knowledge and understanding of appeal processes, possess advanced knowledge of ARC and ORCS filing systems, as well as DIIMS
  • The candidates should have excellent knowledge of office processes and procedures, understand legislation applicable to employment standards appeals
  • The candidates should be familiar with budget, accounting, and financial procedures, general knowledge of GNWT’s financial management system (SAM)
  • The candidates should demonstrate exceptional administrative and coordination skills, possess strong written and oral communication skills in English
  • The candidates should exhibit high attention to detail, including excellent proofreading abilities, demonstrate excellence in interpersonal skills
  • The candidates should have excellent organizational and time management capabilities, be effective and accurate in keyboarding and data entry skills
  • The candidates should be clear and precise in minute-taking proficiency, maintain tact, confidentiality, and a professional office demeanor
  • The candidates should be comfortable working in a multi-cultural environment and managing diverse projects
  • The candidates should be proven to meet deadlines and respond effectively under pressure, the ability to train staff on computer use and specialized software ,demonstrate initiative, self-motivation, and the ability to work independently or as part of a team

Responsibilities:

  • The candidates should be able to develop, supervise, and maintain administrative and operational hardcopy files using the ARCS and ORCS records management systems,  develop, supervise, and maintain administrative and operational electronic files using DIIMS, GNWT’s Action Request Tracking System (ARTS), ARCS, and ORCS records management systems
  • The candidates should be able to establish naming conventions for all electronic files in accordance with Records Management guidelines, monitor all electronic files to ensure compliance with records management policies, develop new filing systems tailored to specific operational
  • The candidates should be able to receive, record, and direct all office correspondence and inquiries, providing prior files on the same issue as necessary, and follow up to ensure completion, set up and utilize a regional bring-forward system as well as GNWT’s ARTS system effectively, coordinate and administer the bring-forward system to ensure deadlines are met
  • The candidates should be able to draft initial routine correspondence and requests for information from clients, other divisions, or external government bodies for the Regional Superintendent and regional staff
  • The candidates should be able to assist with the development and preparation of communication and presentation materials, briefing books, promotional materials, and annual work and business plans
  • The candidates should be able to maintain the Administrative Assistant’s procedure manual, revise and maintain regional office and administrative procedures and policies, coordinate, prepare, and distribute mass mailings, courier shipments, and other document and material shipments
  • The candidates should be able to provide office coordination for various projects such as office moves, furniture installations, and telephone and computer setups and relocations
  • The candidates should be able to prepare all required documentation related to human resources for the Region, participate as a member of the Administrative Assistants’ committee
  • The candidates should be able to coordinate, proofread, edit, review, and format correspondence, communication materials, and reports using approved formats and with complete accuracy for the Manager’s, Regional Superintendent’s, and Assistant Deputy Minister’s signatures, provide support in coordinating and arranging staff travel
