It handles city-owned property, enforces standards, and supports economic development through infrastructure coordination. Requirements:

Languages: Candidates must have knowledge of the English Language
Education: Candidates should have completion of education in Office Business Administration
Experience: Candidates should have a minimum of two years’ experience providing customer service, either in person, via phone, or email

Other Requirements:

  • The candidate should have completed a blueprint reading course, training in records management
  • The candidate should have experience interpreting building plans, experience working with microform records
  • The candidate should have knowledge of procedures related to establishing and maintaining filing systems
  • The candidate should have knowledge of Planning, Property, and Development processes such as Permits and Zoning
  • The candidate should be proficient with the Microsoft Office suite and have the ability to quickly become proficient with Office 365, SharePoint Online, Adobe Acrobat, and OneDrive
  • The candidate should have strong written communication skills, strong verbal communication skills to deal effectively with the general public, Departmental staff, and external contacts

Responsibilities:

  • The candidate should be able to process all requests for copies of building plans, permits, and related documents from both external and internal customers
  • The candidate should be able to coordinate the storage and retrieval of records in collaboration with the City’s Archives and Records Control
  • The candidate should be able to manage and ensure adherence to procedures outlined in all User Manuals related to the Central Files Unit
  • The candidate should be able to assist in the training and onboarding of summer students, temporary staff, and other additional personnel
  • The candidate should be able to actively participate as a member of the Strategic Initiatives and Project Development Branch, contributing to branch goals and projects
  • The candidate should be able to perform other duties as assigned that are consistent with the classification
