Requirements:
Languages: Candidates must have knowledge of the English Language
Education: Candidates should have completion of Bachelor’s degree
Experience: Candidates should have 2+ years of administrative experience in a corporate setting
Physical Requirements:
- The candidate should be able to work independently as well as in a team environment, maintain confidentiality and handle sensitive information
Other Requirements:
- The candidate should possess an Associate, be proficient in Microsoft Office Suite – PowerPoint in particular, experience using Concur and Ariba/My Purchases
- The candidate should demonstrate strong organizational and time-management skills and be able to prioritize tasks effectively, excellent written and verbal communication skills
Responsibilities:
- The candidates should be able to arrange travel and prepare employee expense reports in alignment with firm policies, ensuring accurate documentation and timely reimbursement
- The candidates should be able to assist in processing checks, outgoing wires, and vendor invoices for payment on multiple platforms
- The candidates should be able to help organize internal and external office events, prepare meeting agendas, attend meetings, and accurately record meeting minutes
- The candidates should be able to assist in the revision and updating of internal documents, ensuring all documents are up to date and accurate
- The candidates should be able to manage record retention, ensuring secure storage, timely archiving, and proper disposal of sensitive financial and client data in accordance with regulatory requirements
- The candidates should be able to serve as a backup for reception duties as needed, including greeting clients, answering phones, maintaining kitchen and office inventory, and handling incoming and outgoing mail
