Requirements:
Languages: Candidates must have knowledge of the English Language
Education: Candidates should have completion of a high school diploma
Experience: Candidates should have administrative experience supporting Executives, Vice Presidents, Directors, and Managers
Physical Requirements:
- The candidate should be able to anticipate needs and make decisions with minimal direction
- The candidate should be task-oriented and capable of driving completion of tasks within narrow timelines
- The candidate should have the ability to work flexible hours based on business, remain poised under pressure and be adaptable in a fast-paced environment
Other Requirements:
- The candidate should have a college degree or completion of some business classes
, display maturity and possess the ability to support and interact with all levels of management - The candidate should have advanced knowledge of Microsoft Office suite (PowerPoint, Excel, Word, Outlook) and be familiar with business technology such as web conferencing tools, TEAMS, Zoom, eRoom, SAP, Ariba, WorkDay, Concur, and Sales Reporting systems
- The candidate should possess excellent organizational, communication, and interpersonal skills, with strong attention to detail, the ability to exercise initiative, work independently, and proactively follow up
- The candidate should be able to handle a workload in a fast-paced, results-driven work environment, experience and proficiency with automated expense tracking and online travel systems
Responsibilities:
- The candidate should be able to execute a broad variety of administrative tasks for the Global VPs, acting as a “gate-keeper” by managing an extremely active calendar with discretion and minimal involvement from leadership
- The candidate should be able to arrange complex and detailed travel plans, itineraries, visa requirements, and agendas, while compiling documents needed for travel-related meetings
- The candidate should be able to prioritize conflicting needs and handle matters expeditiously and proactively, ensuring follow-through on projects to successful completion under deadline pressure
- The candidate should be able to facilitate smooth communication between the VPs and other key internal stakeholders
- The candidate should be able to manage budgets and monthly tracking by liaising with Global Heinz & Marketing Excellence teams and finance, including reporting, PO creation, invoicing, and communication
- The candidate should be able to support team culture and engagement through meeting coordination, sampling requests, and other initiatives, proactively manage expense reporting, coordinate onboarding preparation for new team members
- The candidate should be able to assist with event planning and coordination for team meetings, all-hands meetings, summits, and other events
- The candidate should be able to handle confidential and personnel information with trust and discretion, and interface appropriately with internal and external clients and senior executives, perform ad hoc administrative work and projects
