Requirements:
Languages: Candidates must have knowledge of the English Language
Education: Candidates should have completed the Canadian Securities Course and Conduct and Practices Handbook
Experience: Candidates should have 3 to 5 years experience in the relevant field
Other Requirements:
- The candidates should have between of relevant experience and certification in a related field of study or an equivalent combination of education and experience and advanced knowledge of the investment process and procedures and advanced knowledge of administrative processes and procedures as outlined in the Sales Administration Manual
- The candidates should have advanced knowledge of proprietary products and services to identify potential products and services that meet client needs and advise IA(s)
- The candidates should have knowledge of compliance practices and regulations, knowledge of insurance and group products, knowledge of trust and estate services and knowledge of financial and retirement planning
- The candidates should have knowledge of trade processing rules, current registration as an Investment Representative (IR) and 10 CO credits or compliance training over a two-year cycle to meet the mandatory IIROC Continuing Education requirement
- The candidates should possess specialized knowledge, good verbal and written communication skills, good organizational skills, good collaboration and team skills and good analytical and problem-solving skills
Responsibilities:
- The candidates should be able to book meetings with new prospects and prepare introductory packages for prospects and referrals and coordinate marketing activities for the advisory team, including website management, social media initiatives, client recognition for life events, and planning client events
- The candidates should be able to schedule and assist in preparing client portfolio reviews for Investment Advisors, including setting up client calls, scheduling meetings, and providing updates and follow up on client inquiries, account maintenance, new account setups, transfers, and fund remittances from registered and non-registered accounts, resolve client complaints in a timely and effective manner, escalating issues, accept and execute client-initiated trades over the phone or in person and provide stock information
- The candidates should be able to handle general client requests, including money movement wires, transfers), technology issues, account openings, and updates, ensuring timely and confidential follow-ups generate reports and documents for Investment Advisors and clients while processing items for client accounts and files
- The candidates should be able to maintain and organize client databases and files to ensure accuracy and accessibility and monitor incoming and outgoing assets and notify Investment Advisors of required actions to rebalance portfolios, administer and process documentation related to client files and regulatory requirements
- The candidates should be able to monitor the re-documentation of client accounts to ensure all information is up to date, assign tasks to team members and ensure their completion in a timely manner, mentor and coach new or junior team members within the branch
- The candidates should be able to support team members with technology issues, new technology adoption, and inquiries related to policies, procedures, and processing and gather and distribute information on training updates, guidelines, technology advancements, and other business-related updates
- The candidates should be able to develop rapport with clients, instill confidence, and promote a positive client experience and follow risk and compliance processes to safeguard client assets, maintain privacy, and act in the best interests of clients, ensure compliance with regulatory, legal, and ethical requirements to protect the Bank’s and clients’, maintain the confidentiality of client and Bank information at all times
- The candidates should be able to complete complex and diverse tasks within given rules and limits, including handling escalations from other employees, analyze issues and determine appropriate next steps, take on additional responsibilities or broader work assignments
