Requirements:

Physical Requirements:
- The candidates should expect a normal work week of 35 hours, equating to 7 hours per day, typically from 8:30 AM to 4:30 PM, subject to operational
- The candidates should possess personal resiliency to effectively manage the emotional demands of the position. This role may involve high-stress situations and interactions with distraught and challenging individuals
- The candidates should be prepared for the potential handling of exhibits that could be mentally or physically unsettling
Other Requirements:
- The candidates should have an equivalent combination of training and experience with exposure to the justice system
- The candidates should demonstrate proficiency in keyboarding, data entry, and standard computer applications, including MS Office products and legal research skills and bilingualism, with proficiency in both oral and written English and French
- The candidates should possess excellent proofreading, spelling, and grammar skills, with superior organizational abilities and strong prioritization skills to handle tasks with speed and accuracy under tight deadlines
- The candidates should ideally have general accounting skills, scheduling skills, and interviewing and assessing skills, with the ability to work independently and as part of a team
- The candidates should exhibit fairness and impartiality when interacting with clients, maintaining a high degree of confidentiality, and employing excellent interpersonal and communication skills, particularly in listening and dealing with difficult individuals in complex, sensitive, and stressful situations. Tact and discretion are essential
- The candidates should demonstrate an understanding and knowledge of the Rules and Statutes governing the courts, as well as a sound working knowledge of legal documents, forms, court procedures, and legal terminology. They should show initiative, strong problem-solving abilities, and readiness to accept responsibilities, given that errors could have significant impacts on justice system participants
- The candidates should hold a 2-year certificate or diploma in a related discipline, accompanied by 5 years of related experience
- The candidates should possess a 1-year certificate or diploma in a related discipline, complemented by 6 years of related experience and a 4-year Bachelor’s degree in a related discipline, along with 3 years of related experience
- The candidates should attain a 3-year Bachelor’s degree in a related discipline, coupled with 4 years of related experience and demonstrate seven years of related experience, with exposure to the justice system
Responsibilities:
- The candidates should be able to schedule court cases and respond to inquiries and information requests from the public and prepare and distribute court orders and dockets
- The candidates should be able to manage document management, exhibit control, statistical data collection, and general accounting tasks and scrutinize documents, apply relevant Acts, statutes, policies, procedures, and determine corrective measures
- The candidates should be able to review documents with self-represented parties, providing legal information and referrals and effectively manage a caseload of files to ensure efficient client service and and mentor new staff in day-to-day operational activities
- The candidates should be able to liaise with the Judiciary and legal profession, and communicate with legal professionals and self-represented parties on behalf of the court and attend Court and perform Court-related functions
- The candidates should be able to coordinate and manage court hearings held in all levels of court, communicating with legal professionals and self-represented individuals and provide confidential administrative and organizational support to the Judiciary
- The candidates should be able to act in the role of the clerk in all courts, including jury sitting, and perform quasi-judicial duties as a Staff Justice of the Peace and transcribe court proceedings using electronic recording equipment
- The candidates should be able to draft and prepare complex orders and decisions arising from court hearings under the Judge’s direction, and review and apply relevant acts, statutes, policies, and procedures to all court documentation
- The candidates should be able to facilitate all aspects of court hearings, including opening court, calling cases, swearing or affirming witnesses or interpreters and translators, and operating required technology for virtual or hybrid court appearances
- The candidates should be able to exercise care and control of exhibits, including transportation, until transferred to the Exhibit Custodian and perform duties in Court Administration
