Requirements:

Languages: Candidates must have knowledge of the Bilingual, English and French Language
Education: Candidates should have completion of a high-school diploma
Experience: Candidates should have fifteen years of experience in a supporting Executive or senior management level positions

  • The candidates should have knowledge of new tools such as CoPilot and flexible and willing to work extended hours on occasion and desire to take on new initiatives, learn, and adapt to new types of tasks and requirements

  • The candidates should have strong interpersonal skills, including problem-solving, customer focus, and approachability

  • The candidates should possess discipline and strong problem-solving skills and be fully bilingual (oral and written) in English and French

Responsibilities:

  • The candidates should be able to establish and maintain effective relationships with key members of the organization, gaining their trust and respect
  • The candidates should be able to interface or liaise regularly with other Air Canada Executives, their assistants, their leadership teams, other branches and subsidiaries, tax authorities, and external vendors or clients and conduct daily calendar management (Outlook) and proactively adjust schedules based on priorities, manage and prioritize tasks effectively
  • The candidates should be able to manage all correspondence, internal and external (including from taxation authorities), responding as needed and appropriately and organize meetings and internal events from end to end (planning, agenda, scheduling, technology, and taking minutes or action items)
  • The candidates should be able to coordinate meetings both locally and at remote locations (including conference room bookings) and manage travel arrangements, including flight, hotel, meals, and car rental reservations
  • The candidates should be able to assist in the quality management of working documents by proofreading and formatting, coordinate and prepare reports and other materials for meetings, such as agendas, reports, and presentations
  • The candidates should be able to complete expense reports for the team and to create and maintain contact lists and spreadsheets and monitor, compile information, and provide updates on the departmental budget
  • The candidates should be able to maintain accurate records and update filing systems, maintain and update an extensive filing system and provide assistance with special projects as required
  • The candidates should be able to proactively follow up with team members to ensure all deliverables are achieved in real-time and assist in the orientation of new staff and to compile monthly timesheets for the team and prepare support for invoicing and to provide general office management support to the team
  • The candidates should be able to administer telecommunications and all office equipment for the branch (contact person with the provider and IT, order mobile phones, and monitor invoices)
  • The candidates should be able to manage the vacation calendar for the Tax Department and to order office supplies for the Tax Department
