Requirements:

Languages: Candidates must have knowledge of the English Language
Education: Candidates should have a completed 1-year certificate in Business Administration and Administrative Professional
Experience: Candidates should have at least 5 years of experience in a wide variety of administrative work requiring coordination at a departmental level

Physical Requirements:

  • The candidates should have the ability to exercise professionalism, political acumen, confidentiality, and discretion
  • The candidates should be able to resolve conflicting priorities and work effectively in an environment with multiple demands

Other Requirements:

  • The candidates should have a related program OR a completed 2-year diploma in Business Administration or a related program and at least 3 years of experience in a wide variety of administrative work requiring coordination at a departmental level
  • The candidates should have advanced proficiency in Microsoft Office, including Word, Excel, PowerPoint, Teams, SharePoint, and Outlook
  • The candidates should possess excellent communication skills, strong organization, and time management skills with a customer-focused approach

Responsibilities:

  • The candidates should be able to enter safety data for quarterly reporting to ensure compliance and accuracy and ensure safety bulletin board information is current and reflects the latest updates
  • The candidates should be able to align space moves with PDS’s overall space plans and make recommendations on space move requests
  • The candidates should be able to track the progress of space move requests and liaise with Facility Management to coordinate these moves effectively
  • The candidates should be able to assign parking spaces and ensure that business cases are completed for parking exceptions
  • The candidates should be able to communicate with Calgary Parking Authority and Corporate Security as required for parking-related issues
  • The candidates should be able to provide information about the Health and Wellness subsidy, ensuring employees submit correct documentation
  • The candidates should be able to work with Finance to facilitate reimbursement for the Health and Wellness subsidy
  • The candidates should be able to coordinate logistics and scheduling for PDS employee events, including venue selection, catering, and the assembly and distribution of related materials
  • The candidates should be able to maintain the Admin and Logistics SharePoint site, ensuring that administrative training materials are up to date and coordinate training opportunities for PDS administrative staff and schedule meetings to maintain a community of practice
