Requirements:

Languages: Candidates must have knowledge of the English Language
Education: Candidates should have completion of 3-year diploma or degree in Marketing, Business Administration and Event Management
Experience: Candidates should have a minimum of 5 years of professional experience with project management and program development, including engaging and managing volunteers

Other Requirements:

  • The candidates should have a minimum of 2 years of professional experience working with Microsoft Suite products Word, Excel, PowerPoint, social media tools, and budgets and Sheridan alumni status
  • The candidates should have experience building and executing Alumni and Advancement initiatives, working with national alumni affiliations, experience with Raiser’s Edge, and working with alumni from diverse backgrounds
  • The candidates should demonstrate the ability to develop strong relationships and partnerships, possess excellent communication and interpersonal skills, have a strong attention to detail, and show expertise in the development and assessment of programs and activities to meet strategic goals

Responsibilities:

  • The candidates should be able to plan and develop an annual schedule of Sheridan Alumni programs, events, and ad hoc activities in collaboration with the Manager, Alumni, and occasionally other staff within the Alumni & Advancement Department or other departments. These initiatives should support alumni engagement, community building, and other strategic purposes
  • The candidates should be able to plan, coordinate, execute, and evaluate a variety of in-person, virtual, and hybrid programs, ensuring objectives are clearly defined and met. They should handle details carefully and integrate learnings into future plans by setting objectives, creating critical paths, and developing strategies
  • The candidates should be able to organize detailed logistics for on-site and off-site events, such as Convocation, in collaboration with various Sheridan departments, faculties or schools, student government, and external partners and clients to ensure effective staging and alignment with Sheridan’s image
  • The candidates should be able to determine logistics for approved programs, establish project timelines, and work within approved budgets. This includes developing work-back plans, agendas, speaking notes, critical paths, event website listings, practice sessions, and organizing thank-you gifts. They should also oversee invitation lists, RSVPs, tickets, and attendance for events in Raiser’s Edge, coordinating special arrangements or equipment
  • The candidates should be able to design and plan the physical, visual, and sound components of events to enhance Sheridan’s quality reputation. This involves implementing setups to meet equipment requirements, negotiating venue contracts, booking appropriate spaces, arranging food and beverage requirements, and overseeing the ordering of supplies, signage, and AV equipment
  • The candidates should be able to plan, develop, implement, and record logistics to ensure programs are produced in a timely and professional manner, including pre-planning and post-evaluation and oversee customized programs and initiatives in collaboration with faculties and campus departments and recruit, train, and engage both local and international alumni volunteers to support program coordination and promotions, and connect with alumni to generate new opportunities such as mentorship, speaking engagements, and in-class visits
  • The candidates should be able to prepare detailed client rental contracts, request invoices for the Manager, Alumni’s signature, summarize charges for accounts receivables, issue billing, and follow up with payment schedules and collaborate with Advancement Communications for press releases, media presence at events, writing assistance and edits, and marketing needs to support programs and events
  • The candidates should be able to take the lead in becoming an expert in Sheridan’s Virtual Event platforms, including but not limited to Zoom, Webex, V-Fairs, and Microsoft Teams and coordinate a structured Alumni Awards program, including the PSB Hall of Fame and Premier’s Awards and research evolving engagement strategies, including virtual, in-person, and hybrid events and programming, and integrate these insights into alumni program planning and involve alumni as Sheridan ambassadors, guest speakers, volunteers, and mentors by creating meaningful engagement opportunities
  • The candidates should be able to leverage existing alumni relationships to create new opportunities for Sheridan and its alumni community, extending invitations to events to foster strong connections and actively research and engage with new, current, and past featured alumni, building long-term, meaningful relationships maintain a roster of alumni to deepen their connection to Sheridan, converting them into volunteers, donors, and advocates and keep regular contact with all faculties and Sheridan stakeholders, collaborating closely with campus groups to plan and implement activities, services, and programs that benefit alumni on and off campus
  • The candidates should be able to assign data entry, update databases to track alumni engagement, and delegate event coordination tasks and research projects to student employees and collaborate with the Advancement Services team to ensure new alumni data is imported into Raiser’s Edge monthly and ensure all alumni engagement activities are accurately tracked in the Raiser’s Edge Database and implement a comprehensive strategic plan and marketing strategy for alumni programming, targeting both domestic and international alumni, under the direction of the Manager, Alumni
