Requirements:

Languages: Candidates must have knowledge of the English Language
Education: Candidates should have a post-secondary credential (certificate, diploma, degree) in a related field or should have a bachelor’s degree or a higher-level qualification
Experience: Candidates should have a minimum of 3 years of directly related experience in an advisory role

Physical Requirements:

  • The candidates should have endurance for extended periods of standing, sitting, and walking during busy enrollment periods
  • The candidates should demonstrate competence in utilizing university-specific computer systems and technology for data-related tasks
  • The candidates should possess the physical ability to navigate the campus for meetings and outreach initiatives

Other Requirements:

  • The candidates should have a minimum of 1 year of experience working in a post-secondary registrar’s office
  • The candidates should have demonstrated experience working in an environment with peak periods and a high volume of inquiries
  • The candidates should have comprehensive knowledge and understanding of working with Peoplesoft (student administration); Banner or similar student administration systems
  • The candidates should have experience utilizing and upholding calendar regulation & policy as it relates to student/client inquiries
  • The candidates should have experience utilizing call center and CRM technology
  • The candidates should have experience investigating and troubleshooting financial accounts and with payment cashiering
  • The candidates should possess highly developed communication skills (both written and verbal), strong listening skills, and the ability to probe for additional details
  • Experience explaining/resolving complex client inquiries would be an asset
  • The candidates should have demonstrated proficiency using Microsoft Office applications (Word, Excel, PowerPoint), Microsoft Outlook, internet browsers, and web-based portals. The ability to readily learn and adapt to new technologies is required
  • The candidates should have demonstrated personal coping strategies, including the ability to manage stress levels that are moderate to high based on volume and demand

Responsibilities:

  • The candidates should be able to utilize and refer to the university calendar to advise students on policies and regulations related to admission and enrolment requirements, fee schedule and payments, financial aid student loans, and awards
  • The candidates should be able to provide quality service and advice, contribute to the creation of a supportive team, and identify ways to improve services to students, colleagues, and the university community
  • The candidates should be able to provide troubleshooting support for student course registration and offer appropriate advising/referrals when required
  • The candidates should be able to follow established procedures and protocols for supporting student appeals, escalating registration issues, and processes related to course registration
  • The candidates should be able to advise students about all aspects of their student financial account, including charges/fee assessments, payments, credits, debits, refunds, etc. Explain all components of a student’s financial account and provide referrals where appropriate
  • The candidates should be able to troubleshoot and advise on processes related to government student loans, including loan confirmations, remittance, amendments, and loan compliance. Where required, collaborate with internal specialists or external government agencies to inquire about funding eligibility, loan tracking, and changes to circumstances impacting student accounts
  • The candidates should be able to support other duties/advising initiatives as assigned
  • The candidates should be able to post charges related to administrative fees at the University of Calgary
  • The candidates should be able to post student payments (debit, cheque, credit card) accurately and in accordance with institutional and department regulations
  • The candidates should be able to continuously balance and uphold all financial audit compliance guidelines daily
  • The candidates should be able to complete financial transactions and tasks daily and cash without error when reconciling
  • The candidates should be able to support daily balancing and reconciliation for the office
  • The candidates should be able to review and identify errors in financial transactions
  • The candidates should be able to generate and distribute copies of the student record (academic transcript) on demand
