Requirements:

Languages: Candidates must have knowledge of the English Language
Education: Candidates should have educational qualifications such as a Secondary (high) school graduation certificate or Intermediate or a Bachelor’s or Master’s degree or equivalent experience
Experience: Candidates should have 5+ years experience required in working in an executive assistant role supporting senior leaders

  • The candidates should be highly detail-oriented with strong organizational skills to coordinate tasks between multiple leaders and have the ability to operate independently and effectively manage multiple priorities and/or requests in a fast-paced, changing environment with limited daily direction
  • The candidates should possess a high energy, positive outlook, and results-driven mindset with an interest in taking ownership and assuming accountability and have excellent people skills with the ability to work collaboratively, building strong relationships with internal and external stakeholders
  • The candidates should take a proactive approach with the ability to predict and resolve issues in advance and demonstrate a desire to solve problems, think creatively, and build new skills beyond administrative proficiency
  • The candidates should possess proficiency with Outlook suite – PowerPoint, Excel, and Word is a must for the candidates; SAP experience and Strong written (editing/proofing) and verbal communication skills with the ability to present information effectively
  • The candidates should possess excellent organizational and project management skills with the ability to identify and solve problems and demonstrate good judgment, discretion, and confidentiality in handling sensitive information
  • The candidates should be able to work in a fast-paced and results-driven environment while maintaining a calm and confident approach and basic finance skills to support the development of annual budgets, tracking, and monthly reporting
  • The candidates should demonstrate a good balance of initiative to progress matters or escalate and flexibility to adapt to changing priorities and work schedules, as dictated by the needs of business for projects and meetings

Responsibilities:

  • The candidates should be able to provide executive-level administrative support to the Purpose Advisor and Chair, Maple Leaf Centre for Food Security (MLCFS); the VP Government and Industry Relations (GIR); the VP Animal Care; and the Director of Community Involvement/Executive Director, MLCFS
  • The candidates should be able to navigate this dynamic role to interact seamlessly, addressing the needs across various leaders simultaneously while exercising professionalism and discretion and able to serve as the primary point of contact for internal and external stakeholders on behalf of several leaders, representing a service-oriented approach
  • The candidates should be able to perform extensive calendar management, including arranging meetings, monitoring events, and resolving conflicts and able to arrange travel schedules and associated arrangements, as well as prepare and submit travel and expense claim reports accurately and on time
  • The candidates should be able to support financial requirements, including assisting with budget preparation and monthly, quarterly, and year-end financial updates, and tracking actual spend versus budget and able to support accounts receivables and payables requirements, including new vendor requests, generation of purchase orders, and coordinating with vendors, accounts payable, and finance functions
  • The candidates should be able to support the Raise the Good in the Neighborhood volunteer program and able to plan and coordinate onsite, offsite, and remote meetings, group, project, and team events when required
  • The candidates should be able to schedule lobby meetings, track outreach to key government contacts, and manage federal and provincial lobby registries and able to maintain MLF’s inventory of association memberships and internal registry of association participation
  • The candidates should be able to format and send correspondence and maintain a registry of official correspondence and able to assist with the preparation of reports, presentations, and other documents as required
  • The candidates should be able to provide general administrative support, including maintaining department distribution lists and managing shared drive or Teams access/approvals, and managing shared email inboxes and able to undertake any other projects or responsibilities assigned to help the MLCFS, GIR, and Animal Care teams
