Requirements:
Languages: Candidates must have knowledge of the English Language
Education:Â Candidates should have a completed 2-year diploma in Business Administration
Experience: Candidates should have at least 4 years of senior-level administrative experience
Physical Requirements:
- The candidates should have the ability to remain calm in stressful, high-pressure public meeting situations
- The candidates should display tact and diplomacy while effectively managing and prioritizing work in a fast-paced environment with constantly changing priorities
Other Requirements:
- The candidates should have intermediate proficiency with Microsoft Office applications, including Word, Outlook, Excel, SharePoint, and Teams
- The candidates should have knowledge of the Municipal Government Act, the FOIP Act, and parliamentary meeting rules, experience in other levels of government or senior administrative work in large corporations and experience with Livelink and the eSCRIBE application
- The candidates should demonstrate excellent communication and interpersonal skills, exhibit well-developed leadership abilities
- The candidates should demonstrate strong research and organizational skills with attention to detail
Responsibilities:
- The candidates should be able to prepare and execute an average of 4 to 5 meetings a week and attend and document the proceedings of City Council and its Committees in a public forum
- The candidates should be able to provide procedural advice at public committee meetings in accordance with the Freedom of Information and Protection of Privacy Act (FOIP), Municipal Government Act (MGA), and Procedure Bylaw 35M2017
- The candidates should be able to conduct extensive reviews and follow through related to each meeting and research, advise, and address issues related to report recommendations and procedural questions concerning the lifecycle of a report from creation through to Committee and Council meetings, as well as follow-through actions
- The candidates should be able to provide expertise for and manage the day-to-day operations of eSCRIBE, including adding and training new users, system maintenance, meeting and attendee management, and creating and managing reports
- The candidates should be able to correspond with internal partners, including Senior Executive Advisors, Councillors’ Assistants, and report writers regarding topics and materials pertaining to Council or Committee meetings
- The candidates should be able to correspond with external partners, including the public, community associations, and interest groups, to facilitate participation in meetings, educate on processes, and ensure fair participation
- The candidates should be able to diagnose and resolve technical issues related to eSCRIBE and City websites managed by the Legislative Coordination team
