Requirements:

Languages: Candidates must have knowledge of the English Language
Education: Candidates should have completion of a Post-Secondary Degree in Public Administration and Political Science
Experience: Candidates should have 2 years of previous administrative experience in a government setting

Physical Requirements:

  • The candidates should be able to perform light lifting of supplies or materials as required and be comfortable with exposure to computer keyboards and screens in a primarily office environment
  • The candidates should have a strong ability to take initiative, accountability, and possess excellent customer service skills
  • The candidates should be able to work irregular hours, depending on meetings, and be able to work overtime as required to meet set deadlines and be strong team players and able to work independently

Other Requirements:

  • The candidates should have preference given to those with experience in a municipal environment and completed the Municipal Administration Program or hold Certified Municipal Officer accreditation
  • The candidates should have experience using Acrobat Adobe Pro, Microsoft Word, Excel, PowerPoint, Agenda Management Software (eSCRIBE is an asset), and various City software programs
  • The candidates should have demonstrated knowledge of electronic meeting software such as Webex, Webex Events, and Zoom, and be able to serve as a meeting host for electronic meetings of Council and Committees
  • The candidates should be able to prepare reports, letters, and emails in a clear, concise, and professional manner to Members of Council, staff at all levels, the general public, and other stakeholders
  • The candidates should have strong attention to accuracy and detail in a time-sensitive environment and demonstrate strong research, analytical, and critical thinking skills
  • The candidates should have excellent organizational and time management skills, with the ability to prioritize workloads, problem-solve, and adapt to frequent interruptions
  • The candidates should have strong keyboarding skills and demonstrated leadership skills to provide advice and direction to staff
  • The candidates should have a working knowledge of the Municipal Act, Accessibility for Ontarians with Disabilities Act, Planning Act, and Mississauga’s Procedure By-law

Responsibilities:

  • The candidates should be able to review, organize, and research to prepare agenda items and attend meetings and record discussions and decisions on behalf of the City Clerk, in accordance with Provincial legislation and the Council Procedure By-law, and provide procedural guidance
  • The candidates should be able to prepare written motions before meetings in anticipation of being moved by Council or Committees. Verbal motions that are moved should be captured and formulated during the meeting
  • The candidates should be able to report on recommendations and submit them for adoption and compose minutes that form a permanent corporate record of the proceedings, discussion, and decisions of Council or Committees and coordinate various programs, events, the citizen appointment process, and manage the Committee budget
  • The candidates should be able to act as the primary corporate contact for Council or Committee and respond to inquiries from the public, staff, and other levels of government regarding the Committee in their portfolio
  • The candidates should be able to create committee meeting appointments and serve as Meeting Host or perform other duties during electronic meetings of Council and Committee
  • The candidates should be able to provide ad hoc assistance on projects or initiatives within the unit or team
  • The candidates should be able to interpret legislation and provide guidance to various departments regarding legislative processes and facilitate training and presentations
  • The candidates should be able to liaise with Committee Chairs to ensure that the Committee operates within their established Terms of Reference and perform other duties
