Requirements:

Languages: Candidates must have knowledge of the English Language
Education: Candidates should have completed three years of post-secondary education
Experience: Candidates should have three years of related administrative experience, preferably in an academic environment

Physical Requirements:

  • The candidates should be able to meet and deal with people at the highest level, be capable of handling confidential information
  • The candidates should be able to meet deadlines, establish priorities, and work effectively with limited supervision

Other Requirements:

  • The candidates should have excellent organizational skills, up-to-date knowledge of University and administrative policies

Responsibilities:

  • The candidates should be able to provide support to the Manager in the tenure and promotion process by corresponding with external referees, monitoring candidates’ online submissions, and reporting anomalies
  • The candidates should be able to draft summaries of candidates’ dossiers to support the evaluation process
  • The candidates should be able to gather and process data for reports requested by the Council of Ontario Deans of Engineering, the National Council of Deans of Engineering and Applied Science, Professional Engineers Ontario, and Engineers Canada
  • The candidates should be able to liaise with OIRP, Co-op, CORIS, and other departments to collect and consolidate required data
  • The candidates should be able to respond to front counter inquiries and direct individuals to the appropriate staff member or office
  • The candidates should be able to answer and direct telephone inquiries in a professional and courteous manner
  • The candidates should be able to distribute mail and deliveries received in the Dean’s office efficiently
  • The candidates should be able to assist with special projects or assignments related to the Dean’s office
  • The candidates should be able to monitor and update various contact lists to ensure accuracy
  • The candidates should be able to assist with the operational needs of the Dean’s office and perform other administrative duties during the absence of administrative staff
