Responsibilities:
- The candidates should be able to provide information on program availability, fee structure, payment deadlines, eligibility requirements, and program-specific prerequisites, respond to and escalate complaints accordingly and assist clients with Continuing and Online Learning (COL) registration and withdrawals
- The candidates should be able to add students to course waitlists and action continuing education transfers, request refunds and perform sub-ledger analysis, perform manual intervention with failed online registrations, take payments through a variety of methods debit, money order, online transfer, cheque, and credit card and assist students with Ontario Student Assistance Program (OSAP) applications, including helping with application documentation
- The candidates should be able to confirm receipt of OSAP funding through the Ministry of Training and Colleges and Universities (MTCU) portal, assist with the completion of OSAP applications and documentation, including screening, amending, and updating and review OSAP applications and verify data for accuracy and completeness
- The candidates should be able to gather appropriate information and documentation for OSAP, inform students of financial assistance programs available for part-time and full-time studies, providing detailed information on current government and institutional programs, assess and triage client needs accordingly and advise students regarding loan default prevention and explore other funding options
- The candidates should be able to evaluate and interview clients to determine if there are grounds for appeals to their funding based on Ministry policies, determine outstanding tuition and encumbrances and accept payments for program and course registrations, process fee deferrals, confirmation of enrolments, and continuation of interest-free status forms and perform necessary data entry on the Genesis and MTCU systems, updating application information and amending income discrepancies
- The candidates should be able to reset Personal Identification Numbers (PINs) and resolve problems related to unusual client circumstances or school or financial aid program needs and refer them to the Financial Aid Officer or Manager for specialized advice and documentation
- The candidates should be able to create and update student records, staying abreast of college policies and procedures, enter grades and reset passwords related to student activities, draft letters for students and other third-party requestors, assist clients with form completion and enter data into the Registrar’s Office database and provide campus directions and run required reports
- The candidates should be able to enter Dual Credit information and create international student profiles, process contract documents for specialty registration, balance individual daily transactions, reconcile total daily transactions, and prepare the daily deposit and prepare cash bags and administer the release of all financial assistance to students
- The candidates should be able to verify client identification to ensure security of loans, grants, and cheques, check College registration and MTCU status to ensure entitlement eligibility prior to the distribution of loans, grants, and cheques, confirm fees are paid and ensure unpaid fees are deducted from loans prior to release, verify income data to confirm or adjust entitlements and respond to emails in a timely manner
- The candidates should be able to file documents electronically or otherwise and scan documents to upload to Laserfiche, identify and communicate opportunities for process improvement, demonstrate correct methodologies, processes, and procedures for new full-time and part-time staff and support the onboarding of new colleagues, reinforcing Team Lead training and answering questions on process and policy
