Requirements:

Languages: Candidates must have knowledge of the English Language
Education: Candidates should have completion of High School
Experience: Candidates should have minimum of three years of secretarial and administrative support experience

Physical Requirements:

  • The candidates should demonstrate attention to detail and a high level of accuracy in their work
  • The candidates should be multi-taskers and self-starters who are motivated, results-driven, and comfortable managing competing deadlines
  • The candidates should bring integrity to their work and be capable of working with minimal supervision
  • The candidates should demonstrate the ability to work in a quickly changing environment and exercise sound judgment around issues requiring a high degree of tact and diplomacy

Other Requirements:

  • The candidates should have a minimum of four years of secretarial, administrative support experience, or an equivalent combination of training and experience
  • The candidates should be collaborative team players with proficient skills in the use of a variety of Microsoft programs such as Word, Excel, PowerPoint, Outlook, or equivalent
  • The candidates should possess excellent organizational, communication written and verbal and interpersonal skills
  • The candidates should have at least one year of business course experience

Responsibilities:

  • The candidate should be able to assist with coordinating the division’s budget,  monitor forecast documents and regular SharePoint (intranet) maintenance and survey administration
  • The candidate should be able to handle divisional financial transactions, including orders and received goods and supplies, ensuring proper procurement procedures are followed
  • The candidate should be able to manage and track vendor payments efficiently and paper files and electronic files, including filing documents, managing shared drives, implementing bring-forward systems, conducting data entry, and using the STAR or STOR classification system
  • The candidate should be able to prepare various correspondence and maintain, update, and track changes to branch-wide documents and resources
  • The candidate should be able to organize on-site or off-site meetings, including preparing meeting materials, organizing meeting space, preparing mailouts, and providing other administrative support
  • The candidate should be able to coordinate electronic calendars, arrange meetings, and make travel accommodations
  • The candidate should be able to prepare agendas and take accurate minutes or notes during meetings
  • The candidate should be able to review, sort, and distribute mail efficiently
  • The candidate should be able to respond to inquiries from staff, the public, agencies, and departments in a timely and professional manner
