Requirements:

Languages: Candidates must have knowledge of the English Language
Education: Candidates need standard educational qualifications such as a Secondary (high) school graduation certificate or equivalent experience
Experience: Candidates should have considerable experience in the relevant field

Physical Requirements:

  • The candidates should be legally entitled to work in Canada and complete a satisfactory Enhanced Security Screening – Level III
  • The candidates should provide a satisfactory Criminal Record Check with a Vulnerable Sector Search

Other Requirements:

  • The candidates should have extensive experience as administrative or executive assistants in a court or legal-related environment, supporting multiple supervisors simultaneously
  • The candidates should demonstrate excellent verbal and written communication skills, including strong proofreading and editing abilities, adhering to citation standards
  • The candidates should exhibit excellent interpersonal skills to effectively interact with legal professionals, the general public, and other stakeholders
  • The candidates should have proven organizational skills, capable of meeting workload demands and deadlines and work independently and contribute effectively to a team and a respectful workplace
  • The candidates should have proficiency in Microsoft Office applications such as Word, Outlook, Excel, and Teams or compatible programs and completed a recognized legal assistant training program or possess equivalent work-related experience
  • The candidates should have experience using legal research applications, including Quicklaw/Lexis Nexis, Westlaw, and CanLII, as well as conducting related internet searches
  • The candidates should have knowledge of Court systems, rules, policies, and procedures and experience with transcription from digital or oral dictation

Responsibilities:

  • The candidates should be able to provide comprehensive administrative support services to judges of the Provincial Court, including preparing case management reports
  • The candidates should be able to process judgments of the court by proofreading, ensuring accuracy, and researching legal texts for references, citations, and quotations
  • The candidates should be able to maintain organized and efficient filing systems to support court operations
  • The candidates should be able to respond to inquiries from various stakeholders, including judiciary, court staff, government departments, legal professionals, and the public, with professionalism and discretion
  • The candidates should be able to coordinate meetings, schedule appointments, and make travel arrangements
  • The candidates should be able to prepare and submit expense claims in compliance with policies and provide backup support to a team of colleagues
  • The candidates should be able to work independently with minimal supervision while ensuring collaboration with colleagues for seamless court operations
