Requirements:

Languages: Candidates must have knowledge of the English Language
Education: Candidates need standard educational qualifications such as bachelor’s degree
Experience: Candidates should have experience of 1 to less than 2 years
Area of work experience: Business, community service organization, conference and meeting planning companies, professional association or organization, trade associations, and university or college
Computer and technology knowledge: Database software, Adobe Photoshop, MS Access, MS Excel, MS Office, MS Outlook, MS PowerPoint, MS Word, Tablet computer, Keynote, MailChimp, Adobe Illustrator, InDesign, MAC
Own tools/equipment: Cellular phone, computer, and printer
Type of media: Advertising or communications

Physical Requirements:

  • The candidates should be able to work under pressure, meet tight deadlines, and handle a fast-paced environment
  • The candidates should be able to demonstrate attention to detail and work overtime when required

Other Requirements:

  • The candidates should be accurate, have client focus, and possess efficient interpersonal skills
  • The candidates should have excellent oral and written communication, flexibility, and initiative

Responsibilities:

  • The candidates should be able to develop risk management plans, marketing and communication plans, and media strategies and public relations activities
  • The candidates should be able to promote conference and meeting services or special events, inspect and select sites, and review bids and negotiate costs
  • The candidates should be able to prepare, present and manage budgets, develop financial procedures, and develop sponsorship, partnership or fundraising programs
  • The candidates should be able to determine requirements for hospitality services, signage, multi-media equipment, printing and other technical services, and arrange for and manage contracts for these services
  • The candidates should be able to assist in budget preparation, assist in site selection and attend to related details, and arrange for production or purchase of promotional products
  • The candidates should be able to co-ordinate and monitor conference and meeting activities, co-ordinate media services, and co-ordinate set-ups, staging, seating, parking, communication systems and other details for special events
  • The candidates should be able to confirm and co-ordinate speakers, implement registration systems, and implement social programs, food and beverage, transportation, and other services
  • The candidates should be able to set up and monitor, or arrange for the setting up and monitoring of multi-media equipment, plan and arrange for accommodation and transportation services, and plan and arrange for trade shows and exhibits
  • The candidates should be able to plan schedules, goals and objectives, develop registration systems and information materials, and plan for required documentation and for pre- and post-distribution of documentation (itineraries, evaluations etc.)
  • The candidates should be able to research and design special events programs, plan for VIP arrangements, and plan for translation and interpretation services
  • The candidates should be able to book facilities for office personnel, plan for social events and guest programs, and develop policies and procedures and attend to other management responsibilities
  • The candidates should be able to prepare final financial and other reports and develop and implement business plans
