Requirements:

Languages: Candidates must have knowledge of the English Language
Education: Candidates should have 4 years Degree in Communications or Journalism
Experience: Candidates should have 3 years related experience or an equivalent combination of education and experience

Physical Requirements:

  • The candidates should be able to meet multiple deadlines frequently
  • The candidates should be prepared for short periods of intense concentration often
  • The candidates should be able to focus on a computer screen for long periods often
  • The candidates should expect to work in an office work environment

Other Requirements:

  • The candidates should excel in customer service and possess strong writing skills to compose written materials
  • The candidates should be able to organize and prioritize a high volume of correspondence effectively
  • The candidates should demonstrate strong research skills, including proficient use of web and online tools
  • The candidates should exhibit strong judgment and decision-making skills and be resourceful and capable of building relationships
  • The candidates should provide technical guidance and advice to user departments and have a working level operation of City word processing, email, website, and PowerPoint
  • The candidates should establish and maintain effective working relationships and deal effectively with the public and outside agencies
  • The candidates should be familiar with the routine use of Customer Response Management (CRM) systems or equivalents
  • The candidates should be familiar with the routine use of SharePoint or equivalents

Responsibilities:

  • The candidates should be able to provide communications advice and respond to a variety of correspondence on various projects and issues, including Mayor’s correspondence, to support increased understanding and engagement in City programs and services
  • The candidates should be able to provide protocol advice and support, including drafting a high volume of responses on behalf of the Mayor, Council, and City staff to provide meaningful and timely responses to citizen inquiries and concerns
  • The candidates should be able to draft briefing notes and assist in developing and refining correspondence policy, guidelines, and evaluation methods
  • The candidates should be able to provide protocol advice and support in areas such as Twin City relationships, discussions with First Nations, and visiting school groups
  • The candidates should be able to coordinate and oversee an electronic correspondence tracking system and develop and evaluate long-term correspondence strategies
  • The candidates should be able to monitor the effectiveness of the correspondence program and track subject areas and issues of concern to provide regular feedback to the supervisor and Director of Citizen Engagement and Strategic Planning
  • The candidates should be able to research, write, and edit copy for public information materials targeted at internal and external audiences and prepare presentations on various topics
  • The candidates should be able to write and edit internal staff communications, including a weekly electronic newsletter, and work closely with the Mayor and City Manager’s Offices and with City departments to initiate communications items anticipatory of community interest and concern
  • The candidates should be able to coordinate and write print materials, monitor and edit website content, proactively identify areas where the website can be updated to be responsive to community inquiries, and assist in increasing understanding of the City of Victoria services and its initiatives with stakeholder and community groups
