Requirements:

Languages: Candidates must have knowledge of the English Language
Education: Candidates should have bachelor’s Degree or equivalent combination of experience and education
Experience: Candidates should have minimum three (3) years’ relevant administrative, financial and payroll administration experience

  • The candidates should have experience in monitoring and reconciling financial accounts

  • The candidates should possess advanced knowledge of the Administrative Management Systems (AMS), including Financial Information System (FIS), and Human Resources Information System (HRIS), or equivalent systems
  • The candidates should have strong computer skills, including proficiency with MS Office (Word, Excel, Outlook, Teams)
  • The candidates should possess knowledge of the University’s organization, relevant policies, and practices, including familiarity with the University’s Guide to Financial Management

Responsibilities:

  • The candidates should be able to support the overall VPRI mandate by providing professional service to the University’s research community, including faculty members, academic administrators, and administrative staff
  • The candidates should be able to report to and act as the executive assistant to the Associate Vice-President, Research Oversight & Compliance at the Research Oversight & Compliance Office (ROCO)
  • The candidates should be able to provide various supports and services to ensure the smooth and effective operation of the office and its units
  • The candidates should be able to report to and receive technical direction from the VPRI Manager, Budget & Operations on portfolio operations and activities
  • The candidates should be able to work closely with counterparts in other VPRI units to ensure consistent standards and support across the VPRI
  • The candidates should be able to relay and/or gather information from senior leadership and stay well-informed on leadership commitments and priorities
  • The candidates should be able to coordinate meeting schedules, agendas, materials, action items, and follow-up items
  • The candidates should be able to write routine documents and correspondence as required
  • The candidates should be able to process accounts payable and accounts receivable according to the University Guide to Financial Management
  • The candidates should be able to identify and recommend space, furniture, and equipment needs for the office and maintain inventory of equipment and supplies
  • The candidates should be able to monitor the department budget to ensure expenditures remain within budgeted allocations
  • The candidates should be able to process payroll, maintain attendance records, and track vacation records
  • The candidates should be able to identify and analyze data discrepancies and take necessary actions to correct errors
