Requirements:

Languages: Candidates must have knowledge of the English and French Language
Education: Candidates should have completion of a Bachelors Degree
Experience: Candidates should have three to five years of secretarial or administrative experience within the community or public sector

Physical Requirements:

  • The candidates should be able to work independently with minimal supervision within a dynamic team, where problem-solving ability and enthusiasm will be highly valued
  • The candidates should have the demonstrated ability to multi-task under pressure, deal with conflicting priorities, and coordinate projects to tight deadlines, with a high degree of accuracy and attention to detail

Other Requirements:

  • The candidates should possess a Community College diploma or certificate in a related field, plus an executive administrative role experience and experience working on special projects and be flexible with regard to types of tasks assigned and show initiative in developing new projects. An equivalent combination of education and experience
  • The candidates should have superior interpersonal, planning, time management, organizational, problem-solving, and customer service skills
  • The candidates should possess strong writing and editing skills, including the ability to proofread documents, and write meeting summaries and other documents for both internal and external audiences
  • The candidates should have a demonstrated high degree of confidentiality, tact, and discretion in all situations
  • The candidates should have superior computer, organizational, and communication skills, along with tact, diplomacy and sound judgment
  • The candidates should have advanced PC skills, particularly with Microsoft Office applications (Outlook, Word, Excel and PowerPoint), and experience with virtual meeting applications
  • The candidates should have strong financial skills and previous experience tracking expenditures and monitoring budgets
  • The candidates should have experience working with clients, staff, organizations serving diverse groups and aware that computer testing

Responsibilities:

  • The candidates should be able to assist with development of annual submissions, reports and monitor budgets
  • The candidates should be able to coordinate requests for procurement documents and process invoices, create invoices, track expenses
  • The candidates should be able to submit credit card reconciliation statements and purchase requisitions
  • The candidates should be able to order equipment and supplies storage structures and support core administrative tasks and and maintain file, documentation systems and manage databases
  • The candidates should be able to connect with corporate services (Finance, Procurement, People and Experience, Facilities, and Maintenance) for consistency and alignment with CAMH processes and requirements
  • The candidates should be able to provide assistance on a wide range of organizational and departmental projects
  • The candidates should be able to maintain a high degree of confidentiality, discretion and be creative
  • The candidates should be able to work with people and systems within and outside of CAMH, such as health care or educational institutions and government departments
  • The candidates should be able to multi-task, work at 1025 Queen Street and liaise effectively with internal and external stakeholders
  • The candidates should be able to support a workplace that embraces diversity and encourages teamwork
